The ideal candidate is detail-oriented, able to anticipate needs before they surface, communicate with warmth and clarity, and thrive in a fast-moving, team-oriented culture.

Responsibilities

  • Roll calls: maintain and manage daily call sheets, patch talent/agents, take clear notes, distribute action items.
  • Prepare meeting decks, one-sheets, and end-of-day status reports; maintain digital and physical filing systems.

  • Draft and update talent, writer, and director lists; compile competitive research decks.
  • Update multiple status trackers from development through delivery.
  • Draft deal-request memos, talent grids, and submission letters to agents/managers.
  • Maintain OWA and ODA lists and circulate to covering agents (scripted-only)
  • Build and circulate weekly “traffic reports” summarizing project status, rights windows, and critical next steps.
  • Maintain and update department Dropbox.
  • Serve as the first point of contact for external partners (agencies, studios, financiers, guilds, vendors) and internal cross-functional teams (Accounting, Brand, etc.).
  • Prepare expense reports promptly.
  • Track and initiate follow-up across project action steps.

Qualifications

  • 1.5-2 years of administrative experience in television (studio, network, agency, or production company) with dual-desk experience and a desire to work in a cross-functional environment.
  • Industry knowledge across the scripted and unscripted landscape.
  • Ability to create and manage internal systems for a high-volume department
  • Working knowledge of industry tools: Outlook & Google Workspace, Airtable, Excel, Final Draft, and databases such as Studio System.
  • Exceptional written and verbal communication skills with impeccable attention to detail
  • Proven ability to handle confidential information with professionalism and discretion
  • Grace under pressure; able to pivot quickly, prioritize competing deadlines, while remaining upbeat and enthusiastic
  • Self-starter and proactive in looking ahead
  • Genuine passion for scripted and unscripted television and a hunger to learn the business inside and out

Preferred Extras

  • Bachelor’s degree in Film/Media, Communications, or related field.
